This policy explains how VEX Academy, run by VM Education Pte Ltd, collects, uses and protects the personal data of parents and students, in line with Singapore's Personal Data Protection Act 2012 (PDPA).
It covers our website and landing page, the AI-Powered Diagnostic app, our Discovery Day and programme sign-up forms, WhatsApp chats, and our classes at Punggol Coast Mall, Woodleigh and Marine Parade.
If you have any questions about this policy, please contact our Data Protection Officer (section 1).
1. Who we are and how to reach us
VEX Academy is a coding and robotics programme run by VM Education Pte Ltd (UEN: 201209829W), the authorized reseller for VEX Robotics in Singapore. When this policy says "we" or "us", it means VM Education.
For any question or request about your personal data, contact our Data Protection Officer:

2. What personal data we collect
We only collect what we need to run our programmes and reply to you.
| Where | What we collect |
|---|
| Discovery Day and programme sign-up forms | Parent's name, email, mobile number, preferred campus and date; child's name, age or level and school |
| AI-Powered Diagnostic app | Child's first name, school and level; the child's answers, scores and time taken; parent's name, email, mobile number and nearest campus |
| WhatsApp, email and phone | Your name, number and the messages you send us |
| Enrolment and classes | Details needed for enrolment and billing, emergency contact, attendance and progress reports; any health or allergy notes you choose to share for your child's safety |
| Photos and videos | Images of students taken during classes, Discovery Days and competitions (only with consent, see section 4) |
| Our website | Basic visit data such as pages viewed and device type, through cookies (see section 7) |
We do not ask for NRIC or passport numbers unless a competition organiser requires them for registration.
3. How we use your data
We use personal data to:
- Register your child for Discovery Day, the Accelerator or Mastery programme, and confirm dates and campus
- Show your child's diagnostic results, email you a copy, and recommend a suitable programme
- Reply to your questions on WhatsApp, email or phone
- Run classes safely, track progress and send progress reports
- Register teams for VEX competitions
- Send you news about our programmes, but only if you agree (see section 6)
- Improve our website, lessons and the diagnostic test
We will not use your data for a new purpose without telling you first and, where needed, asking for your consent.
4. Children's data, photos and videos
Most of our students are under 18, so we ask a parent or guardian to give consent and provide contact details for them. In the diagnostic app, the child answers the questions, but a parent must enter their own details and agree to this policy before the results are shown.
We take photos and videos during classes and events to share progress with parents and to promote VEX Academy on our website, social media and ads. We only do this with a parent's written consent, given on our photo and video consent form. You can say no or change your mind at any time. If you withdraw consent, we will stop using new images of your child and remove their images from our website and social media within 14 days. Images already printed or shared by others may not be fully recallable.
We do not publish a child's full name, school or level with their photo without the parent's permission.
5. Who we share your data with
We do not sell your personal data. We only share it with people and services that help us run VEX Academy:
| Who | Why | What they receive |
|---|
| Google (Forms, Sheets, Gmail) | Store sign-ups and diagnostic results, and email results to you | Form and diagnostic details |
| Anthropic (Claude AI), only if AI comments are switched on | Write the short comment in the diagnostic results | Child's first name, level and scores only; no parent contact details |
| InstaPods | Host the diagnostic app | Technical data needed to run the app |
| Meta (WhatsApp, Facebook, Instagram) | Chat with you and run our ads | Messages you send us; ad and website visit data |
| Our website hosting provider | Host our website | Website visit data |
| VEX competition organisers (e.g. REC Foundation) | Register teams for competitions | Student name, team and school, as required |
Some of these services store data on servers outside Singapore. Where this happens, we choose providers that protect personal data to a standard comparable to the PDPA.
We may also share data if the law requires it, or to protect a child's safety.
6. Marketing messages
We will only send you news about programmes, holiday camps and events by email, WhatsApp, SMS or phone if you have agreed to it. We also respect Singapore's Do Not Call (DNC) Registry.
You can stop marketing messages at any time by replying "STOP" on WhatsApp, clicking "unsubscribe" in our emails, or contacting us. We will still send messages you need, such as class schedules and changes.
7. Cookies and website analytics
Our website uses cookies, which are small files saved in your browser. They help the site work, show us which pages are popular, and measure how well our ads work. These may include analytics and advertising tools such as Google Analytics and the Meta Pixel.
You can block or delete cookies in your browser settings. The site will still work, but some features may not.
8. How long we keep data and how we protect it
We keep personal data only as long as we need it:
- Enquiries and diagnostic results from families who do not enrol: up to 2 years after our last contact
- Enrolled students' records: while your child is with us, then up to 5 years for accounts and records
- Photos and videos: until consent is withdrawn, or as stated on the consent form
After that, we delete the data or make it anonymous.
We protect data by limiting access to staff who need it, using password-protected accounts, and choosing trusted service providers. No system is 100% secure. If a data breach is likely to harm you, we will notify you as required under the PDPA.
9. Your rights
You can ask us to:
- See the personal data we hold about you or your child, and how we have used it
- Correct anything that is wrong or out of date
- Withdraw consent for us to use your or your child's data
Send your request to our Data Protection Officer (section 1). We will reply within 30 days. If we need more time, we will tell you why. If you withdraw consent, we may not be able to continue some services, such as classes or competition registration, and we will explain what this means before acting on it.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be on our website, with the date it was last updated. If we make a big change to how we use your data, we will let you know.
